Microsoft Excel 2000 is a spreadsheet application in the Microsoft Office

Suite. A spreadsheet is an accounting program for the computer. Spreadsheets are

primarily used to work with numbers much like Microsoft Word is used to work with

text. Spreadsheets calculate and analyze information by using mathematical formulas

When you open Excel, many items you see are standard in most Windows 95 or 98 programs. A few things are specific to Excel 2000.

[h=5]Toolbars Toolbars can be customized and offer a series of commonly used Excel features
[h=5]Column Headings Each Excel spreadsheet has 256 columns
[h=5]Row Headings Each spreadsheet has 65,536 rows
[h=5]Name Box Shows the address and name of the current selection

[h=5]Formula Bar Displays the current entry (as you are typing or editing) or the contents of the current cell

[h=5]Cell An intersection of a column and row. Each cell has a cell address. In the above

picture, the cell address of the selected cell is A1. The heavy border around the selected cell is called the cell pointer.

[h=5]Navigation Buttons Allow you to move to another worksheet in an Excel workbook easily

[h=5]Sheet Tabs Allow you to move around the workbook easily

When you open Microsoft Excel, a workbook automatically shows in the workspace.

Important Terms
A workbook is made up of three worksheets.

The worksheets are labeled Sheet1, Sheet2, and Sheet3.

Each Excel worksheet is made up of columns and rows.

In order to access a worksheet, click on the tab that says Sheet#.

Choose Tools

In the Options dialog box, click the General tab.

Click on the spin box controls (up and down arrows) to change the number of worksheets in a new workbook.

The Excel worksheet is made up of columns and rows.When these

columns and rows intersect, they form little boxes called cells

Important Terms
Each cell has a unique cell address composed of a cell's column and row.
The active cell is the cell that receives the data or command you give it.
A darkened border, called the cellpointer, identifies it.

To activate any cell, click the cell.

To move the pointer one cell to the left, right, up, or down, use the keyboard arrow keys.

To see other areas of the worksheet, use the scroll bars. To scroll large

distances, hold the Shift key while dragging the scroll bar

PgDn: Down one screen


PgUp: Up one screen


Home: To column A in the current row


Ctrl + Home: To cell A1

You can enter three types of data in a worksheet: text, numbers, and formulas. Text is

any entry that is not a number or formula. Numbers are values used when making calculations. Formulas are calculations.

[h=5]To Enter Data into a Cell:
Click the cell

Begin typing the data.

An insertion point appears, and the text you are entering appears in the active cell and in the formula bar.

The formula bar buttons (Cancel button and Enter button) appear.

ends the entry and turns off the formula bar buttons

Click the cell.

AND


Click the Cancel button

to delete an entry and turn off the formula buttons.

OR
Cancel an entry by pressing the Escape key.
OR
Right-click and choose Clear Contents from the shortcut menu.
OR
Select data and press Delete or Enter key.

Excel’s AutoComplete feature keeps track of text entered in a column

and can complete other entries in the same column. For example, if you typed

GCFLearnFree.org in cell A1 and enter "G" in A2, Excel automatically fills the cell

with GCFLearnFree.org. If GCF Global Learning is the text you want to enter, press

Enter or Tab to move to the next cell. If it’s not what you want, just keep typing

until you overwrite the AutoComplete feature

You may find you need to edit or change data you enter into a cell. You can do this two ways.

[h=5]Quick and Easy Method:

Click the cell and type the new entry; the old entry is replaced.

If the original entry is long and only requires a minor adjustment (in spelling, for example), edit the entry.

Click on the cell and edit the entry in the formula bar.
OR
Double-click on the cell. This opens the cell for direct editing.
Press Enter or click the Enter button on the Formula bar

In Excel, the cell that is currently selected is the active cell. A group of cells is called a range.

Move to the first cell in the range.

The mouse pointer becomes a large cross.

Hold down the left mouse button and drag to the last cell you want to select.

Release the mouse button.

The cells you selected are shaded.

Click the Column or Row heading.




[h=5]To Select Multiple Columns or Rows:

Click one heading and drag to select the others.
