Office Suite. Create professional-looking, formatted text documents with this powerful Word processing software

[h=3]The Word Window

Word is the word processing application included in the Microsoft Office

2000 suite. Besides Word processing, Word allows you to perform many tasks in a typical office environment


Shown below is the Microsoft Word default window. When Word

is launched, a new blank document, or default window, opens

in Print Layout view. Although window elements are fully explained

in our Windows class, here is a brief explanation of the Word window

Displays the document name followed by a program name

Contains a list of options to manage and customize documents

[h=5]Standard toolbar
Contains shortcut buttons for the most popular demands

Contains buttons used for formatting text

Used to set margins, indents, and tabs

The location where the next character appears

Indicates the end of the document

[h=3]Create a New Document
There are three ways to create a new document in Word:

When you launch Word, it automatically creates a new document

OR,

Choose File

OR,

Click the New Blank Document button on the Standard Toolbar.

[h=3]Opening a Previously Saved File
You will spend a lot of time editing documents you created and

saved at an earlier time. There are four ways to open a previously saved file


[h=5]To Open a Previously Saved File:
Choose File

OR

Click the Open button on the Standard toolbar

OR

The last four files that you saved appear at the bottom of the File menu. Choose one from the list.

Remember: Save as allows you to save a document under a

new name. This is important to do when you intend to edit or revise a document since you may want to keep the original.

[h=3]A Change in View
Word processing requires you to stare at a computer screen for long periods

of time. In order to alleviate the strain on your eyes, Word provides four different

ways Word elements are displayed. The four views are Normal view, Print Layout view, Web Layout view, and Outline view


Normal view is used for most typing, editing, and

formatting. It provides a nice, clean look without rulers or page numbers cluttering your view


Web Layout view shows you what your text will look like on a web page

Print Layout view shows you what your document will look like when it is printed. Print Preview shows you this as well.

Outline view is used to create and edit outlines. This view is particularly handy when making notes.

[h=3]The Insertion Point
The insertion point (also called a cursor) is the blinking line in your document

that indicates where text is inserted when you type. There are several ways to move an insertion point


The I-beam shows you where your mouse pointer is. The

blinking insertion point shows you where your next word will be once you start typing


When you are in a Word document, your pointer changes from an arrow (

) into an I-beam (
off_i-beam.gif
).


Once the pointer leaves the Word document to perform a Windows function, it changes back into an arrow. (

)

Notice the line that indicates the end of your document. You cannot move your insertion point below this line.

[h=3]Moving the Insertion Point
[h=5]To Move the Insertion Point:
Use your mouse to move your insertion point anywhere within

the document. Move your mouse until the I-beam is where you want your insertion point to be and click.
OR


Use your arrow keys to move your insertion point up, down, left, or right. These movements

move your insertion point one space or line at a time. This method is especially useful if

you only need to move a few spaces or lines back in a document to make a correction.
OR


Hold the Ctrl key and press up or down arrow keys to jump up or down a paragraph at a time.
OR

Press Page Down (PgDn) to jump down the document one window at a time.

When creating a document, you might want to change the way text appears



Before you can change the font style, size, or color, replace or delete text, you must first select it.

First, select what you want to change.

Then, make your changes.

[h=5]First Method: Click and Drag to Select Text
Move your pointer until the I-Beam (insertion point) is next to the text you want to edit.

Click the left mouse button.

Without releasing the mouse button, drag the insertion point to select text.

Release the left mouse button when you have selected the text you want to change.

[h=6]Pros:

Highlights letters, words, and even entire documents.

Lots of control with individual letters, words, and phrases.


[h=6]Cons:
Lack of control may cause:

"Speedy selecting," which selects an entire document when you don't want to.

"Backward selecting." If the pointer moves slightly when you click, you end

up selecting text to the right when you want to select to the left and vice versa.

[h=3]Second Method: Use the Pointer to Select the Entire Line of Text

[h=5]To Select a Single Line of Text:
Move the I-Beam to the left margin until it becomes a right-slanted white pointer:


Position the pointer to the left of the line that you want to highlight.

Click once to highlight a single line.

Click and Drag up or down to select as many lines as you want to edit.



[h=6]Pros:

Quick and easy.

[h=6]Cons:
Selects the whole line of text when you may not want it to.

May take some practice to position the pointer correctly.

[h=3]Third Method: Double and Triple Clicking Text
[h=6]Double-clicking and triple-clicking have different effects.

Double-clicking directly on text selects that text.

Triple-clicking directly on text selects the entire line.

Place your mouse pointer directly over the word or phrase you want to select.

Double-click.

Place your mouse pointer anywhere in the line you want to select.

Not for selecting large portions of text.
