[h=3]Configuring an Outlook Account

You can create a new or additional Outlook account by following the same

account creation wizard. Once you configure your account, you'll

be able to use all the features that Outlook has to offer. Before you can

begin, you will need to contact your Internet Service Provider or web

mail service
and ask for the following information if you were not given it when you started your service

email address

incoming mail server information

outgoing mail server information

[h=5]To Configure An Additional Outlook Account

Select Tools

E-mail Accounts from the main menu. The E-mail Accounts wizard will appear.

Click Add a new e-mail account.


Click Next.

Select the server type. Most Internet Service Providers (ISPs) and web mail services use POP3 servers.

Click Next.

Enter your Name.

Enter your E-mail Address.

Enter the incoming mail server information you obtained from your ISP or web mail service.


Enter the outgoing mail server information you obtained from your ISP or web mail service.


Enter your user name if it is different from the user name that automatically appears in the wizard form.


Enter your password.

Click Test Account Settings to test the information you entered in the wizard and confirm that it is valid.


Click Next.

Click Finish.

If you do not already have an Outlook email account, select

Microsoft Office Outlook
from your computer's Start

menu. The wizard will open and you can follow the steps above to create an Outlook account.

If you already have an Outlook account:



Select Tools

Email Accounts from the main menu to explore the

wizard. You do not need to set up a real account

Select Cancel at any point to exit the wizard without saving any of the mock, or fake, data you entered.


If you do not have an Outlook account:




Select Microsoft Office Outlook from the Start Menu and use the wizard to set up your account.

Outlook is a personal information manager that is part of the Microsoft Office

suite. Although Outlook is primarily used as an email application, it also includes

an interactive calendar, contact and task manager, a journal, and more

Outlook Today view: This is the default view in Outlook. Outlook displays

this view anytime Personal Folders in the Mail section is selected






Main Menu: From this menu, you can work with Outlook using

the File, Edit, View, Go, Tools, Action, and Help menus




Toolbars: There are three toolbars in Outlook: Standard, Advanced, and

Web. Select View

Help feature: The Help feature is located in the top, right corner of the

screen. From here, you can receive assistance by searching Outlook Help and Microsoft Online Help


Navigation Pane: This is the core of Outlook. From the

Navigation Pane, you can access the Mail, Calendar, Contacts, and Tasks

Mail: In this section, you can access your Inbox, Sent Items, and other

mail folders. A folder is active when it is highlighted and the contents of it will display on the right side of the screen


Calendar: In this section, you can enter appointments in multiple

formats (e.g., daily, weekly, monthly). Outlook allows you to

schedule reoccuring appointments and can also send yourself appointment reminders


Contacts: The Contacts section is essentially an electronic phone and address book

that allows you to keep track of information about family, friends, business contacts, and more


Tasks: From this section, you can create to-do lists to keep track of important

activities. The Tasks section is connected to your Calendar and Mail, which

enables Outlook to generate lists based on items in other sections of the program.

Enter an appointment into your Outlook calendar.


Click Contacts in the Navigation Pane.

Click Tasks in the Navigation Pane to explore the Tasks section of Outlook.

The Outlook window has two primary panes, the Reading and Navigation

Panes, that you choose to display or hide. This convienent feature allows

you to change the way you view the Outlook window based on your personal preferences

[h=5]The Reading Pane

Many people like the Reading Pane because it allows you to

read your message without double-clicking to open it in a new

window. Instead, when you select an email message, Outlook allows you to preview it in the Reading Pane


Although this feature is convenient, the Reading Pane does pose a security risk. When

the Reading Pane is enabled, Outlook automatically opens the last message

that you've received in your Inbox each time you open Outlook. If that message

is infected with a virus, you're exposed as soon as Outlook opens. For this

reason, you may choose to disable the Reading Pane so you can delete any

email messages that look suspicious

  • Select View

The Navigation Pane is displayed on the left side of the Outlook

window. From the Navigation Pane, you have access to your Mail, Calendar, Contacts, and Tasks

You will need to know how to view and reply to messages if you use Outlook as your email provider.


[h=5]To View Messages:

Select the Inbox in the Navigation Pane.



  • If "Inbox" is bold, this indicates you have unread messages.
  • The number to the right of the word "Inbox" in parentheses indicates the number of messages in your Inbox.

Click a message in the Inbox once and Outlook will display it in the Reading Pane, if that feature is turned on.

Double-click a message and it will open in a new window.

[h=5]To Reply to a Message:

Click Reply on the Standard toolbar while viewing the message you would like to

reply to. Outlook will create a preaddressed reply form to the email address the original email came from.

  • Enter text into the body of the form.
  • Click Send.
