[h=5]To Send a New Message:

Click Mail in the Navigation Pane to access your email.


Click New from the Standard toolbar. The Untitled Message window will appear.


Type the email address of the person you are writing in the To... field.

Press the Tab key twice to advance to the Subject: field.

Type a subject into the field. The subject will appear along the top of the message window.



  • Press the Tab key once to advance to the message body field.



Type your email message


Click Send on the toolbar. The message window will disappear and

Outlook will send your email message to the appropriate server

Inbox is full, if you type an incorrect address, or if the file size is too large to transmit.

If your Inbox is full of messages, you can organize those messages using

folders. Outlook creates several folders by default, including Deleted Items

and Junk Items, and gives you the ability to create custom folders.

Click the location where you want the folder in the Mail section of the Navigation Pane.

Type the Name of your new folder in the Name field.

Click OK. The folder will appear in the location you selected.

Click Inbox in the Mail section of the Navigation Pane.

Select the email message you wish to move to a folder.

Press and hold the left mouse button and drag the message to

the appropriate folder until the folder is highlighted

Release the mouse button to drop the message into the folder.

[h=3]Creating an Email Signature


An email signature consists of text and/or pictures that are automatically added to

the end of outgoing email messages. You can create multiple, custom signatures for

different audiences, such as business contacts or personal friends. Business email

signatures usually contain your name, job title, and business contact information. Your

personal email signature might include a picture, closing salutation, quote, or any other

information. There are no rules for what information you can include in your signature

Options from the main menu. The Options dialog box will appear.


Select the Mail Format tab.


Click the Signatures button in the Signatures section.


Click New. The Create New Signature dialog box will appear.


Enter a name for your signature. In the example below, the signature is named "Business"

Select Start with blank signature. If you have an existing signature saved in

Outlook or as a file on your computer, you can choose to use it as a template at this point

Click Next. The Edit Signature dialog box will appear.

Type the text you would like as your email signature.

Highlight the text using your mouse

Click Font. The Font dialog box will appear

Select the font, style, size, and color you wish to format your signature.

Click OK. The formatted signature will appear in the Edit Signature dialog box.

Review the signature and verify that it appears like you wish.


Click Finish.

Click OK in the Create Signature dialog box.

Click OK in the Options dialog box. Your signature will now

automatically appear every time you create a new email message.

Format the signature as defined below:


  • Font: Arial

Right-click anywhere in the current signature of a new email

message. A list of email signatures you created will appear


Select the signature you wish to use and release the mouse button. The selected

signature will immediately replace the existing signature in the email message.

Outlook allows you to attach files to email messages, which makes sharing files and

documents with people very easy. These files are called attachments. Some

files, however, are too large to send as attachments and may be returned to

you as undeliverable. This could occur if the file size is too large, the Internet

connection is too slow, or the email client software you or your recipient uses

has a limit on the file size it will transmit
